When the phone keeps taking you away from the work.

Start with the interruption, not the tool.

For a week, notice when the phone pulls someone away from a customer, a job or a piece of careful work. Separate routine questions from conversations that need judgment. A missed call might be a sales inquiry, an existing customer or a wrong number; those are different jobs to handle.

The goal isn't to keep people away from customers. It's to protect attention without leaving a caller with no useful next step.

Write down the answers your team repeats: hours, service areas, what information to have ready. Then decide what a good message contains and who should receive it. A system is useful when it makes that handoff easier, not when it merely produces another transcript.
